How to plan a business event brief

Start with the outcomes and people. Build the format, programme and operational plan around them.

NWN field notes

A practical starting point.

Decide what should happen because of the event.

A business event can support relationships, product understanding, investment conversations, market access or an ecosystem initiative. State the primary outcome and distinguish it from secondary ambitions. Attendance is one measure, but it does not describe the value of the conversations or the work that follows. Define a useful result for the organiser and participants.

Identify the people and their reasons to attend.

Describe the participant groups and the relevance of the event to each. A summit involving startups, MSMEs, investors and enterprises needs a programme that recognises their different interests. Clarify how people will be invited or selected, what information registration needs and whether curated introductions form part of the experience.

Choose interactions before filling the agenda.

Consider which outcomes need a stage session, workshop, demonstration, exhibition or one-to-one meeting. If meetings matter, allow time to establish mutual interest, confirm attendance, assign a location and manage transitions. Build these interactions into the main programme so the format supports the intended conversations.

Connect communication and operations.

Share the location, date or date range, expected scale and available budget. Identify venue, production, branding, registration, communication and on-ground requirements. Explain who makes decisions and which partners are already involved. Speaker and partner commitments, approvals and participant communication all affect execution.

Plan the follow-through.

Agree what information can be recorded, how outcomes will be confirmed and who will follow up afterwards. An expression of interest, a planned next meeting and a completed business outcome are different things. Reporting should distinguish them. NWN’s SMilE Summit case study presents the work through its participants, coordination and reported outcomes.
